couldn't find anything about this in the archives:

Using a T3 running OS5.x

Last hotsync I got a warning that I had too many records in the calendar on the Handheld and I must clean out some in order for it to sync. But I see that purging allows retaining a maximum of one month old records. I want to (1) keep an archive of ALL records and (2) retain say the last year or two on my handheld. Is there a way to do this?

TIA

What was the exact text of this error message? If it is the error message that I am thinking of, it lies.

I find this lack of feature annoying also. However, a work around:

* On you handheld: Set the time/date back one or two years.
In Calendar, use the purge feature. I would recommend checking the "Save archive copy on PC" check box.
Set the time/date back to the correct date.* Hotsync.

Why didn't I think of that?

FYI, here's the message I got:

HotSync operation started 04/28/05 09:16:09
-- Calendar
- Some handheld records were not copied to your PC. Your computer may be full or you may have reached the maximum allowed records on the desktop. To correct this situation, delete some records and perform a HotSync operation again.
Desktop = 1573, Handheld = 1568
OK Calendar with 1 message(s)

thanks for the help!

That error message is bogus. Set the datebook conduit for desktop overwrites handheld as a one-time action. Hotsync and your problem should be solved.

Thanks Jim, I will do that, although the message didn't come back ... Did you choose "desktop overwrites handheld" because it had more entries in my case, or is this just the correct way to solve the problem?

Correct, always choose the platform that has the most records. This error message is almost always the result of a corrupted sync task and doing an overwrite sync with reset the sync task so it works correctly again. I don't know why Palm has continued to produce such a confusing error message even after all these years.
